Group Registration

Industrial companies, their representatives and appointed agencies wishing to register and pay for groups of delegates should follow the Group Registration procedure below.

A minimum of 10 delegates paying FULL registration fees is required to qualify for Group status.

Each group must have a designated group co-ordinator. All communication for the group will be via the group coordinator.

Group registration offers the group co-ordinator the flexibility to transfer registrations, details and activity bookings without charge until the deadline of 10 August 2008.

GROUP REGISTRATION PROCEDURE

Please complete the online Group Registration Form. Full payment of fees, at the appropriate rate, must be made in order to secure the booking.

SUBMISSION OF DELEGATE NAMES

A registration form for EVERY delegate in the group must be completed and submitted to the EACTS Executive Secretariat NO LATER THAN SUNDAY 10 AUGUST 2008.  Each form must provide the following information :

a) Full name of delegate
b) Complete address of delegate
c) Email address of delegate

Details of the sponsoring organisation or agency in place of the delegate's details are NOT ACCEPTABLE. Registrations submitted without stating all of the above details WILL NOT be processed.

CONFIRMATION OF REGISTRATION

Confirmation of registration will be sent to the group co-ordinator, following receipt of full payment by the EACTS Executive Secretariat. Confirmation will be sent to the group co-ordinator ONLY and NOT to the individual delegate.  It is the responsiblilty of the group co-ordinator to inform delegates of their registration details.

Payment should be made by credit card or bank transfer.

Transfers made must be exempt of charges to EACTS Trading Company Ltd. To identify your payment, you must mention the "Group Name/Group Id" and "22nd EACTS Annual Meeting".

CHEQUES ARE NOT ACCEPTED

COLLECTION OF REGISTRATION DOCUMENTATION

Group co-ordinators will be given an appointment on either Friday 12 or Saturday 13 September for collection of the group's documentation from the Group Registration Desk at CCL, Lisbon. The EACTS Executive Secretariat will not be held responsible for delays or inaccuracies to group documentation should appointments not be adhered to. Proof of payment and a list of individual delegate registration numbers will be required on registration.

NAME BADGES

Name badges issued to participants in your group will be printed from the information provided on the registration forms. For organisation and security reasons, name badges must be worn at all times throughout the Annual Meeting, both at CCL and during the official social events. A fee of €100 will be charged for the replacement of lost badges. Spelling or literal changes to name badges on-site will be charged at €25 per badge.

TRANSFER OF REGISTRATION

Transfer of registration to another delegate after 17 August 2008 will incur a fee of €75 and will only be processed on-site.

CANCELLATION, ALTERATION & NO-SHOWS

In the event of cancellation of all or part of your group, the registration fee(s) less a 25 % administrative charge will be refunded, PROVIDED the cancellation is notified in writing and reaches the EACTS Executive Secretariat by 10 August 2008. It is regretted that after this date no reimbursement of fees can be made.

Alterations to registration can be carried out by the group co-ordinator online at any time until 10 August 2008. After this date the Registration department will issue a final list of delegates to be approved by the group co-ordinator. In response to this list and by 17 August 2008 at the latest the group co-ordinator can specify any final amendments that are required to the group booking. Any alterations received after this date will be processed on-site and subject to an administrative fee as described above.

No-shows at the Meeting will be charged at the full fee.

IMPORTANT DEADLINES FOR GROUP REGISTRATION - 2008

Deadline for receipt of registration at the EARLY fee Sunday 29 June
Last date for cancellations refunded with a 25 % administration charge deducted from the fee. No refund is available for cancellations thereafter. Sunday 10 August
Deadline for receipt of new registrations or amendments to group registrations at the LATE fee. Sunday 10 August
Registration department to produce a delegate listing for each group and send to group co-ordinator. week commencing 11 August
Deadline for group co-ordinator to respond with any final delegate alterations to group. Sunday 17 August

On-site fees apply for new booking to group.
New bookings will only be accepted on-site
Fee charged for:

  • Literal Corrections
Monday 18 August
Registration department to issue final delegate list for groups. week commencing 18 August
Group Registration at CCL. Friday 12 September and Saturday 13 September
