Group Registrations - Terms & Conditions

GROUP REGISTRATION PROCEDURE

  • The 24th EACTS Annual Meeting will only accept group bookings made on the official On-line Group Booking Site
  • Instructions on how to make a group booking/add participants are available HERE
  • Groups are for 10 or more participants.  If you are booking for less than 10 people please use the Individual Registration.
  • The company or organisation requesting a booking must nominate one group leader (Contact Person) to liaise with the 24th EACTS Annual Meeting.
  • The 24th EACTS Annual Meeting should receive group registration bookings no later than 3 September 2010.
  • The 24th EACTS Annual Meeting will not be held responsible for the double booking of an individual participant or group made by another company or organisation.
  • The 24th EACTS Annual Meeting will only accept changes to the bookings, which have been made on-line by the group representative.
  • By completing the on-line Group Booking Forms all Terms and Conditions within this document are accepted.
  • IMPORTANT NOTE:  

    Participant names cannot be changed if you registered an existing person.  You will have to remove the delegate from your group. 

    YOU CAN NOW BOOK/PAY FOR TICKETS WITHOUT ASSIGNING A DELEGATE NAME TO THE REGISTRATION AT THIS TIME.  You can go back into your group at anytime up until 03 September 2010 to provide the delegate name. (Select the activities required i.e. Non Member - then click on 'create tickets only' at the bottom of the screen)
     

SUBMISSION OF DELEGATE NAMES

Full correspondence details and the required fields on the on-line forms (Full name, complete address, email address) must be filled in for each delegate, to complete the booking.

Details of the sponsoring organisation or agency in place of the delegate's details are NOT acceptable.

Registrations submitted without stating all of the above details WILL NOT be processed.

CONFIRMATION OF REGISTRATION

Confirmation of registration will be sent to the nominated Group Co-ordinator. Confirmation will be sent to the nominated Group Co-ordinator ONLY and NOT to the individual delegate.

ALTERATIONS / AMENDMENTS TO GROUP

Alterations to registrations can be made via the on-line Registration System using your Group ID and Password until 03 September 2010.

CANCELLATION

In the event of cancellation of all or part of your Group, the registration fee(s) less a 25% administrative charge will be refunded, PROVIDED the cancellation is notified in writing and reaches the EACTS Executive Secretariat by 3 August 2010. Refunds will not be given for any cancellations after this date. Any refund of fee(s) will be made after the Meeting.

COLLECTION OF REGISTRATION DOCUMENTS

It is the responsibility of the Group Co-ordinator to distribute the relevant delegate information and documentation as appropriate to the individual participants of a group.

It is the responsibility of the Group Co-ordinator to inform the participants whether the delegate material is being picked-up by a group co-ordinator or if the participant must pick-up individually.

Group Co-ordinators will be given an appointment on either Friday 10 or Saturday 11 September for collection of the Group's documentation from the Group Registration Desk in Palexpo, Geneva.  The EACTS Executive Secretariat will not be held responsible for delays or inaccuracies to group documentation should appointments not be adhered to.

NAME BADGES

  • Name badges issued to participants in your group will be printed from the information provided on the registration forms.
  • For organisation and security reasons, name badges must be worn at all times throughout the Annual Meeting, both at Palexpo, Geneva and during the official social events.
  • A fee of €100 will be charged for the replacement of lost badges.
  • Spelling or literal changes to name badges on-site will be charged at €25 per badges.

TRANSFER OF REGISTRATION ON-SITE

Transfer of registration to another delegate in a group booking is NOT possible.

NO-SHOWS

No-shows at the Meeting will be charged at the full fee. There will be no refund issued.

Transfers made must be exempt of charges to European Association for Cardio-Thoracic Surgery. To identify your payment, you must mention the "Group Id / Group Name" and "24th EACTS Annual Meeting".
